What Should You Look for When Choosing Office Furniture?

What Should You Look for When Choosing Office Furniture?

There’s a big difference between furniture that looks well-designed in renderings and furniture that performs well in real life.

Choosing commercial office furniture should involve more than reviewing finishes, dimensions, renderings, and price.

Gensler’s 2026 Global Workplace Survey found that two-thirds of workers reported “hacking” their workspace to compensate for performance gaps, including issues with ergonomics, temperature, and visual privacy.

So, before the purchase order is signed, here’s what’s worth taking a closer look at.

How long will someone use it?

Not every workspace, seat, or setting in an office has the same job. Someone may spend most of the workday at their workstation, an hour in a conference room, or 30 minutes in a phone booth. How long people will use a space should influence how you evaluate the products within it.

For an all-day workstation, task chair support, desk height, monitor positioning, and power access deserve closer attention. In a conference room or touchdown setting, the priorities may shift because of shorter periods of use.

How does the setting feel after 30 minutes? Two hours? An entire workday?

Ergonomics is part of that evaluation, but it goes beyond choosing an ergonomic chair. MillerKnoll describes ergonomics as fitting the space, its settings, furnishings, and tools to the people who will use them.

That’s why experiencing products before making a larger commitment can be so valuable. For us at Lane Office, that might mean comparing options in our showroom, bringing in a sample chair, or letting a client use a product in their own space for several days. Five minutes in a chair tells you something. But a week can tell you much more.

The better question isn’t simply “Is this comfortable?” It’s “Does this setting support what someone will be doing here, and for how long?”

Does the whole setting work together?

Furniture and workplace details shouldn’t be evaluated in isolation. Each selection needs to work with the surrounding furniture, technology, power, and storage.

Consider a conference room. Do the chair arms clear the table edge? Is there enough room to pull a chair back comfortably? Is power accessible from every seat? Does everyone have a clear sightline to the presentation screen?

The same level of coordination matters throughout the workplace. In a lounge area, seat height, table height, table placement, and power placement can determine whether the space comfortably supports laptop work or an informal meeting. At a workstation, the work surface, monitor arms, storage, power and data, and task seating need to work together without creating conflicts.

Specifications only tell part of the story. Dimensions can confirm that individual products fit, but they don’t always reveal how those products will interact once installed.

Before finalizing a selection, consider the workspace from the user’s perspective. What needs to be within reach? Where will power and data be accessed? Is there enough clearance to move comfortably? Does one component interfere with another?

What will it look like from every angle?

Renderings and product photography tend to show furniture from its best angle. But in the finished workplace, people experience it from every direction.

Take the time to look at the back of the sofa, underneath the conference table, and along the side of the workstation. Are cables, hardware, power connections, or chair mechanisms visible? Now consider how that changes when the product is repeated throughout the space.

One exposed cable may seem minor, but repeated across 50 workstations along a main circulation path? It becomes much more noticeable.

Before approving a furniture selection, consider not only how the product is presented, but how it will be viewed once installed.

How easy will the furniture be to maintain or repair?

Commercial furniture is built to be used, which means wear and maintenance are part of its lifecycle.

Before ordering, consider what happens if a product is damaged or a component wears out. Can individual parts be repaired or replaced? Can upholstery be refreshed? Are replacement parts available? What does the warranty cover? And can your furniture dealer support you when those needs arise?

You’re choosing a partner you may need to call years after installation. At our dealership, that ongoing service is part of the relationship, whether a client needs a replacement part, repair, or help with furniture they already own.

At scale, that support matters. If one chair out of 100 needs a new component three years from now, replacing the entire chair shouldn’t be the first option.

What can’t a specification tell you?

Some product qualities are difficult to evaluate through specifications alone.

An enclosed meeting space is a good example. If you’re considering a FalkbuiltNY Falkpod (as pictured above), step inside and close the door. Listen to the acoustics. Check the ventilation and lighting. See where power is located and whether the space supports the way you plan to use it.

For spaces designed around privacy and concentration, experiencing the space is a crucial part of the evaluation.

Five questions to ask before you order

Choosing office furniture is about more than finding a product that meets specifications. Before making a final selection, ask:

  1. How long will someone use it?
  2. Does the whole setting work together?
  3. How will the product be viewed once installed?
  4. How easy will it be to maintain or repair?
  5. What can’t the specifications tell you?

The answers may come from reviewing technical details, comparing options, requesting samples, or spending time with the product firsthand.

With more than 100 years of experience in commercial furniture, we believe those steps are worth taking. Test the chair for a week. Raise the height-adjustable desk. Check the power placement. Step inside the phone booth and close the door.

The more you know before placing an order, the more confident you can be that your selections will perform as intended for years to come.
